We are a team of finance professionals that have an extensive background in transforming AP departments.

The basic principles of AP Automation are straight forward, Data Capture, Workflow and Payment. Sales pitches and demos are in close alignment as well. The incompatibility doesn’t become clear until the implementation. That’s when all the details of the requirements on the client’s end, and the functionality of the software meet.

In order to avoid this, some organizations kick off an RFI (Request for Information) or an RFP (Request for Proposal) to assist them in narrowing down the number of software vendors. This is typically a spreadsheet that contains a list of questions for the software vendors to respond to. The weakest responses are disqualified and the vendors that have the most favorable responses move forward. The problem with this format is that the client doesn’t always know what questions to ask, or they ask it in a way that allows the AP Automation vendor to say yes, when in fact the answer could be no. The worst part of this process is that some software companies will not take part in this method of sales and therefore, these organizations may never see the software that could have been the best fit for them.
